Finding a property

The first step is to apply for a RentalPassport.

What is a RentalPassport?

Quite simply, your passport to your New Home.

RentalPassport™ provides any potential landlord or letting agent with the assurance that you're serious, financially sound, and likely to prove a good tenant.

Think of it as your 'letter of introduction'. It captures all the information a landlord or letting agent might need before arranging a viewing - plus it acts as a mini pre-screening, proving your trustworthiness as a tenant from the get-go. A RentalPassport™ accelerates the whole viewing and renting process.

How it works

Having a RentalPassport™ puts you in a stronger position and speeds up the process of securing your new home.

If you're the perfect tenant, you should stand out from the crowd. Like a job applicant with a great CV, filling out a RentalPassport™ will prove that you're serious about renting.

Plus, once it's done, it's done - however many properties you want to view.

All we need from you is your viewing availability, some basic information, and a form of identification for a preliminary reference check. Now you're armed with a handy document that sets you apart from other prospects.

Our tenancies are granted for a minimum term of 6 months, which may be renewed if all parties are in agreement. Please note that for your safety and peace of mind:

All of our managed properties are Gas Safe certificated and inspected for electrical safety, and furniture fire safety

All Tenancy Deposits (bonds) are held in accordance with the Deposit Protection Regulations.

Viewings Process

Viewings can be arranged once you have completed your RentalPassport.

We will always do our very best to accommodate a time and date to suit you. You will invariably be accompanied by a member of the Aroha Team who will help to answer any of your questions.

There are no longer any tenancy fees for tenants as of the 1st June 2019. However, the below still applies....

Having decided on the property you would like to rent you will need to:

Complete an online application form

Supply photographic ID & National Insurance number

Sign our 'Terms & Conditions'

Prove you have the 'Right To Rent' in the UK

Supply additional documentation (if applicable)

We allow you time to complete your documentation to ensure that it is accurate and correct. The forms are forwarded to an independent agency, who will run credit checks. We will also complete affordability checks including financial income checks landlord references & employment referencing. Once the checks have been completed and you have been approved, you will be contacted to arrange a move in date.

Holding Deposit

A Holding deposit will be required to reserve a property, subject to contract.

The holding deposit must be paid within 48hrs of us accepting your application and before the property is withdrawn from the open market and reserved.

Please note that if the tenancy does not proceed due to any of the following circumstances the holding fee will not be refunded.

  • Where you or any proposed joint tenant change your mind and withdraw after references have been sought and/or documents prepared and/or preparations for the tenancy put in hand.
  • Where the tenancy does not commence within one calendar month of payment of the holding fee because of any action by you (as the property may be taken off the market there will be no possibility of finding another tenant during this period).
  • If you or any joint tenant fail the credit check, or we do not receive favourable references from one of your previous landlords.
  • Where your references show that you have given misleading or incorrect information which cannot be construed as a mistake.

It is important to point out that the holding fee does not oblige the landlord to let the property, or any other property, to you and it does not commit the landlord to granting a tenancy or constitute an offer of a tenancy. No interest is payable on the holding fee.

NOTE: The Holding fee is fully refundable if the landlord decides to retract from the tenancy for any personal reasons.

When can you move in?

When you view a property with us, you will be advised of the date when the property ready and available. This information can also be found on the property detail section of our website. Once all of the credit checks and references have come back complete and acceptable, a member of the Lettings Team will work with you to arrange a convenient date to suit all parties.

As soon as you pay the holding fee, a definitive date for the commencement of your tenancy will be agreed and the property will be removed from the market and all further interest will be cancelled.

What happens on the day we sign up for our new property?

Once we have agreed and secured a move in date, we will arrange a convenient time for you to pop into our office to collect the keys and complete all the final documents. The draft AST agreement will be emailed between 3-5 working days prior to move in day to reduce the time spent in the office and eliminate any concerns with the contract if any at all.

Your appointment will be approximately 10-15 minutes, and you will be given a Tenants welcome Pack. This pack will provide you with all of the relevant safety certificates (if applicable), an Energy Performance Certificate, EICR Report and the Tenancy Deposit Certificate along with the prescribed information if that has not been emailed to you to sign along with the AST agreement.

You will also be provided with a digital Inventory Report of the property within 2-3 days of signing up. This report will give you the opportunity to check the and amend if required. This report will need to be web signed and returned to us within 48hrs. If we do not hear back from you within 7 days, we will accept that you are happy with the information provided and close the file.

Before we can release the keys, all parties aged 18 years and over will need to have signed the tenancy agreement, and all remaining monies must be paid in full.

How long am I committed to the tenancy for?

The most common fixed period we offer will be 6 months, after which the tenancy runs on a month-by-month periodic basis.

If you have signed a 6-month agreement and wish to vacate at the end of the tenancy period, we would require one full month’s notice in writing from your last rent due date and ending no sooner than the initial 6 month agreement.

If, however you should decide on longer than the 6-month agreement then this is acceptable, subject to your landlord agreeing. If this is the agreement, the landlord will require you to either continue on a ‘statutory periodic tenancy’ running on a month-by-month basis on the same terms and conditions or sign another fixed term contract.

Rents

Rents are normally quoted calendar monthly, and payable monthly in advance. The tenant is usually also responsible for Council Tax, Water Rates, Gas, Electricity and Telephone costs. All rents are payable by bank standing order to our company bank account or your landlord's bank account.

We are a part of the Client Money Protect scheme

We are also a part of The Property Ombudsman redress scheme

Deposit

A security deposit of a minimum of Five weeks of the rental per calendar month will normally be required. This deposit will be treated in accordance with the Tenancy Deposit Protection regulations, and you will be provided with the appropriate prescribed information and receive details regarding the scheme used. The deposit is held to cover damage, breakages, and any other liabilities under the terms of your tenancy agreement. Please note that under no circumstances can the deposit be used by the tenant to cover rent. *

The deposit will be returnable at the end of the tenancy providing the property has been left in a clean, tidy, and acceptable condition. The deposit will be registered with The Deposit Protection Scheme and a deposit certificate along with the prescribed information will be provided on or within 30 days of the start of the tenancy.
